Unless specified otherwise in the tour write up, lodging, food, transportation, etc. are not included in the workshop/tour price.
By registering for a workshop or tour, you acknowledge and accept the following policies.
Payment:
A non-refundable deposit of at least $1000 for overseas tours is required, unless stated differently in the tour description.
The balance, in general, is due ninety to one hundred twenty (90-120) days prior to the workshop or tour. Your invoice will state the actual due date.
If full payment has not been received by the due date, your spot may be forfeit (in which case, your deposit would be refunded).**
Preferred payment method is by check or money order. Checks returned for insufficient funds are subject to a $20 processing fee.
Payments can be made by check Zelle, PayPal, or credit card (over the phone). PayPal payments for deposits, balance, or payment in full can be made from my website on the sign up page.
Upon payment, I’ll issue an invoice for your records.

Cancellation policy:
If you cancel prior to the balance due date of the workshop or tour, all monies, except deposit, will be refunded.*
If you cancel after the due date (generally 90-120 days prior to the workshop or tour), there is no refund.*
(There may be some flexibility in this depending on the tour and any due dates for money that needs to be paid by Rod Barbee Photography to a tour/guide company.)
At the discretion of Rod Barbee Photography, your deposit may then be applied to a future workshop or tour if you sign up for another workshop or tour within 12 months of the cancellation. If the tour or workshop you sign up for is subsequently cancelled by Rod Barbee Photography, your deposit may then be applied to another workshop or tour, provided you sign up within 12 months of the workshop or tour cancelled by Rod Barbee photography.
We reserve the right to cancel the tour or workshop due to insufficient registration. In such a case, all monies collected, including deposits will be refunded. If the workshop or tour is cancelled, you will be notified prior to the balance due date.
There are other circumstances where Rod Barbee Photography may cancel a workshop or tour prior to that event. Should cancellation occur, Rod Barbee Photography will refund what you have paid for the workshop fee unless it is a case of Force Majeure (see below). Rod Barbee and Rod Barbee Photography assumes no liability whatsoever for penalties incurred by you from airlines or any other sources. This is why travel insurance is recommended for all workshops and tours.
Force Majeure
“Force Majeure” means that Rod Barbee Photography will not be liable for any alleged damages because of any circumstances including, but without limitation, explosion, flood, storm, fire, war or threat of war, civil disturbance, sickness, quarantine, weather conditions or other untoward occurrences. If Rod Barbee Photography is affected by Force Majeure it will notify you of the nature and extent of the incident. Rod Barbee Photography may vary or cancel an itinerary in cases of Force Majeure. Refunds or partial refunds will be at the sole and absolute discretion of Rod Barbee Photography. Rod Barbee Photography will attempt to reimburse you where possible however we will deduct from any refund the reasonable actual and potential costs to Rod Barbee Photography of the Force Majeure.
Please know that sometimes uncontrollable circumstances will force us to alter plans during a workshop or tour. Rod Barbee Photography cannot be held responsible for unanticipated events (such as park closures, natural disasters, civil unrest, weather, etc.) that either prevents you from attending or from us altering our location shoots. We will do our best to work around any unforeseen circumstances.
We reserve the right to increase the stated workshop/tour participant limit. This will happen rarely and only if a couple or group wants to sign up and there’s only space for one of the couple or all but one of the group.
You will be asked to sign a liability release before the tour or workshop begins. If you’re not comfortable with signing such forms, please do not register.
We cannot be held responsible for other associated costs, such as travel expenses, and we therefore highly recommend trip insurance .
*We understand that sometimes folks need to make last minute cancellations due to illness, family, or business matters. Unfortunately, we are unable to make last minute refunds or provide credit to future workshops due to these last minute cancellations. Again, trip insurance featuring a “Cancel for Any Reason” provision is highly recommended.
**Payment requirement dates may change depending on requirements of the trip. The due date will be noted on the front of all invoices.
If you pay by PayPal or credit card and cancel after the fee refund time period expires, any refund due to you will be minus the PayPal fees charged.
Some trips offer a discount if paying by check. Deposit and final payment must be made by check for discount to apply.
Gift Certificates
If you have purchased or received a gift certificate and it has been used to pay for, or place a deposit on a workshop or tour, then the cancellation policies applicable to deposits apply up to the amount of deposit required for the workshop or tour.
For example, if a gift certificate in the amount of $750 is purchased and is used for a workshop that requires a $500 deposit, $500 is non-refundable. The balance of $250 would be refunded.
The same policy regarding applying the deposit to another workshop or tour as stated under the Cancellation policy would also apply in the case of a deposit made using a gift certificate.
